We may suspend or terminate access to the Site or to Conference services for any user who breaches these Terms.

5. Registration

5.1 Registration is completed through the Site and is confirmed only after we receive full payment of the applicable fee and issue a confirmation.

5.2 Registration fees, categories, and deadlines (including early-bird, regular, author, and on-site rates) are published on the Site and may be updated from time to time. The rate that applies is the one in effect at the time your payment is received.

5.3 Key dates — including abstract submission deadlines, acceptance notifications, payment deadlines, and registration deadlines — are listed on the Site. It is your responsibility to meet these deadlines.

5.4 Registration is personal to the named Participant. Sharing, reselling, or transferring a registration is not permitted except through the substitution process described in Section 7, where available.

6. Payments

6.1 All fees are stated on the Site and are payable in the currency and by the methods indicated. Unless stated otherwise, fees are exclusive of any bank charges, currency-conversion costs, or applicable taxes, which are your responsibility.

6.2 Payments are processed by third-party payment providers. By making a payment, you agree to the relevant provider’s terms. We do not store full payment-card details on our servers.

6.3 We reserve the right to correct any pricing errors and to decline or cancel a registration where payment is incomplete, declined, or suspected to be fraudulent.

7. Cancellations, refunds, and substitutions

7.1 Cancellations, refunds, and (where permitted) name substitutions are governed by our Return & Refund Policy, published on the Site, which forms part of these Terms.

7.2 Refund requests must be submitted in accordance with that policy and within the stated deadlines. Refunds, where granted, may be subject to an administrative or processing deduction and will be made using the original payment method where reasonably possible.

7.3 No refunds will be issued for no-shows or for cancellation requests received after the applicable deadline, except as required by law.

8. Abstract submission

8.1 By submitting an abstract, you confirm that the work is original, that you have the right to submit it, that all listed authors have approved the submission, and that it does not infringe any third party’s rights or any applicable ethical or research-integrity standards.

8.2 Acceptance of abstracts is at the sole discretion of the Scientific/Organizing Committee. Decisions on acceptance, format (oral or poster), and scheduling are final.

8.3 You retain ownership of your abstract. By submitting it, you grant the Organizers a non-exclusive, royalty-free license to reproduce, publish, display, and distribute the abstract in Conference materials, programs, proceedings, the Site, and related promotional materials, in print and electronic form.

8.4 At least one author of an accepted abstract must complete registration and payment by the author-payment deadline for the abstract to be included in the program.

9. Changes to the program and the event

9.1 The scientific program, speakers, sessions, schedule, and venue arrangements may change. We will use reasonable efforts to publish updates on the Site, but we are not liable for changes that are beyond our reasonable control.

9.2 We reserve the right to postpone, reschedule, relocate, shorten, convert to a virtual or hybrid format, or cancel the Conference where necessary, including due to events beyond our reasonable control (see Section 10). In such cases, our liability is limited as set out in these Terms and the Return & Refund Policy, and we are not responsible for travel, accommodation, visa, or other costs you may incur.

10. Force majeure

We are not liable for any failure or delay in performing our obligations where it is caused by circumstances beyond our reasonable control, including but not limited to acts of God, natural disasters, epidemics or pandemics, government action, travel restrictions, strikes, war, civil unrest, terrorism, fire, flood, or failure of public infrastructure or third-party services.

11. Conduct at the Conference

You agree to behave professionally and respectfully toward other participants, staff, speakers, and venue personnel. We may refuse entry to, or remove from the Conference, any person whose conduct is disruptive, unsafe, or in breach of these Terms or venue rules, without refund. You must also comply with the rules and policies of the venue.

12. Photography and recording

The Conference may be photographed, filmed, or recorded for documentation, educational, and promotional purposes. By attending, you consent to the possibility that your image, voice, or likeness may be captured and used by the Organizers in related materials. If you do not wish to be featured, please notify the Secretariat. Participants may not record sessions without prior written permission from the Organizers and relevant speakers.

13. Travel, visas, and accommodation

You are solely responsible for your own travel, accommodation, insurance, and obtaining any visa or documentation required to attend. We may, on request, provide a letter of invitation to support a visa application after registration is confirmed, but issuing such a letter does not guarantee a visa and does not commit us to any liability. Registration fees are not contingent on visa approval.

14. Intellectual property

All content on the Site — including text, graphics, logos, images, and design, as well as Conference branding and materials — is owned by or licensed to the Organizers and is protected by intellectual property laws. You may not copy, reproduce, distribute, or create derivative works from any such content without our prior written permission, except for personal, non-commercial use related to your participation.

Scientific content reflects the views of the respective authors and speakers and not necessarily those of the Organizers.

17. Limitation of liability

To the fullest extent permitted by law, the Organizers and their committees, members, employees, agents, and service providers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for any loss of profits, data, or goodwill, arising out of or in connection with your use of the Site or attendance at the Conference. Where liability cannot be excluded, our total aggregate liability is limited to the amount of the registration fee you actually paid for the Conference. We are not responsible for personal injury, loss, or damage to property except to the extent caused by our proven negligence and where liability cannot be excluded by law.

18. Indemnification

You agree to indemnify and hold harmless the Organizers and their committees, members, employees, and agents from any claims, losses, liabilities, or expenses arising out of your breach of these Terms, your misuse of the Site, your abstract submission, or your conduct at the Conference.

19. Privacy

Your use of the Site and registration are also governed by our Privacy Policy, available on the Site, which explains how we collect, use, and protect your personal information. By accepting these Terms, you acknowledge that you have read the Privacy Policy.

20. Governing law and jurisdiction

These Terms are governed by and construed in accordance with the laws of the People’s Republic of Bangladesh. The courts of Dhaka, Bangladesh shall have jurisdiction over any dispute arising out of or in connection with these Terms or the Conference, without prejudice to any mandatory consumer-protection rights you may have in your country of residence.
